Position Specification

We are looking for someone who can provide comprehensive support to the Leadership Team and management of the organization's administrative operations, including working remotely with all Business Unit Leaders in the group. This dynamic position requires anticipating needs, thinking critically, and offering viable solutions.

 
 
 
 
 
 

Responsibilities

Duties will include, but are not limited to:

 
 

COMPREHEND :

  • Understand the company's business processes and the industry at large.

  • Work to analyze our key business and operational insights for our executive team.

    • Collaborate to assess our administrative processes, identify areas for improvement, and develop tailored strategies to enhance efficiency and effectiveness.

    • Analyze data and workflows to provide insights and recommendations for streamlining administrative operations and achieving efficiencies.

  • Stay up-to-date with the latest developments in administrative management and consultative practices to continually enhance your skills and expertise.

 

Prepare & Report :

  • Draft emails, memos, and other communication as needed.

  • Conduct thorough research on industry trends, best practices, and emerging technologies to stay at the forefront of administrative innovation.

  • Detailed material and report preparation using Word processing, Spreadsheet, Presentation, Collaborative communication software and Other internal systems

  • Summarize and provide financial and economic data reports for leadership and other stakeholders’ review.

  • ERP update and review.

  • Prepare comprehensive reports and presentations to communicate findings, recommendations, and progress to stakeholders.

  • Report on and track critical projects across all companies

  • Work with department heads and finance on reporting deliverables

  • Prepare and submit expense reports and reconcile corporate credit card expenses. Processing expense reimbursements and other expense items

 

ANCILLARY :

  • Complete a wide variety of tasks that support the Portfolio companies where required

ENGAGE :

  • Coordinate logistics for internal and external meetings or events (including departmental meetings)

  • Prepare for and follow up on meeting action items by supporting the development of agendas and critical materials.

  • Assist with the preparation of meetings, including document distribution and note-taking.

  • Provide training and workshops to teams, equipping them with the tools and knowledge needed to adopt new administrative practices.

  • Join key meetings to help coordinate follow-up and serve as support for key priorities.

 

CHECKS & BALANCE :

Assist in verification matters:

  • Monetary - Expenses & Payments

  • Time - Bi-weekly and monthly hours, ensuring management signoff, where required

  • Monitor the impact of implemented solutions and make adjustments as needed to achieve long-term success.

 

RELATIONSHIP :

  • Support Operational teams, as needed, with various initiatives that require a high level of coordination and communication across multiple stakeholders.

  • Develop and maintain strong collaborative relationships with multiple internal and external constituencies.

  • Lead the implementation of process improvement initiatives, working closely with cross-functional teams and stakeholders to ensure successful outcomes.

  • Develop and maintain strong relationships with stakeholders, serving as a trusted advisor and strategic partner in their pursuit of operational excellence.

  • Work collaboratively with the Executive Administrative team, assisting other peers as needed.

 
 
 

Qualification

  • Resident of Philippines

  • Citizen of Philippines

  • 7 years of total experience with 3 years of relevant experience

  • At least 2 years of experience in assisting senior management or C-Level executives

  • International Experience is highly desirable

  • Experience in business, consulting or professional services industries is preferable.

  • A minimum of a Bachelors in either Entrepreneurship/Business Administration/Commerce

  • Preference is given to those who have completed a Master's degree in Business Administration.

  • Proficiency in Productivity Software (Word processing, Spreadsheet, Presentation)

  • An ability and desire to learn new technology to drive efficiencies

  • Optional - Familiarity with operating in an Apple environment on both Desktop and Mobile, utilizing native Apple software - Pages (Word Processor), Numbers (Spreadsheet), Keynote (Presentation)

  • What we offer:

    Salary: PHP - 550,000 - 825,000 p.a.
